What will you do?

As a Planner, you ensure that work, staff, materials, routes and projects are properly scheduled. You act as the link between colleagues, customers, technicians, drivers, site managers, production, work planning and other parties involved.

Your duties may vary depending on the client. One day you might be scheduling technicians for service and maintenance work; the next, you might be drawing up a schedule for transport, production, projects, staff or on-site work. Whatever the context, you ensure that everyone knows where they stand.

You take into account availability, delivery times, travel times, capacity, urgent jobs, materials, customer agreements and changes to the schedule. When something changes, you’re able to adapt quickly. Think of a sick note, an urgent job, a delay, extra work or a customer enquiry that comes up unexpectedly.

Depending on your experience and the client, your duties may include, amongst other things:

  • Drawing up, monitoring and adjusting daily, weekly or project schedules.
  • Scheduling staff, technicians, drivers, teams or tasks.
  • Coordinating with customers, colleagues, suppliers or external parties.
  • Processing changes, urgent requests and ad hoc situations.
  • Checking the availability of staff, materials, vehicles or resources.
  • Monitoring progress, capacity and agreed arrangements.
  • Identifying bottlenecks and contributing ideas for practical solutions.
  • Administrative processing of planning data, work orders or assignments.
  • Communicating the schedule to the relevant colleagues and departments.
  • Providing support with order processing, project administration or work planning.
  • Working with planning systems, ERP systems, Excel or other administrative programmes.
  • Ensuring clarity, structure and a clear overview in day-to-day work.

So you’re not just entering appointments into a system. You ensure that the schedule works in practice and that colleagues can carry out their work effectively.

Who are you?

You are someone who keeps track of things, communicates clearly and stays calm when there’s a lot going on at once. You think ahead, can adapt quickly and appreciate it when arrangements are clear.

You don’t necessarily need to have come from exactly the same role. Perhaps you’re already working as a planner. Perhaps you have a background in logistics, administration, customer service, production, construction, engineering, transport, service or work planning, and you’d like to progress into a planning role.

What’s important is that you work in a structured way, take responsibility and are good with people. You understand that a plan on paper may look good, but that things sometimes turn out differently in practice. When that happens, you stay calm, contribute ideas and find a solution.

For example, you might recognise yourself in the following:

  • You have experience as a planner, administrative assistant, logistics assistant, service coordinator, work planner or in a similar role.
  • You have a good overview and are good at setting priorities.
  • You communicate clearly with colleagues, customers and external parties.
  • You can adapt quickly when plans change.
  • You work with precision and maintain accurate records.
  • You’re a practical thinker and enjoy solving problems.
  • You cope well with busy periods and ad hoc situations.
  • You are reliable, flexible and keep your word.
  • You have experience with Excel, planning software or ERP systems, or you are quick to get to grips with new systems.
  • You have a good enough command of Dutch for communication, administrative tasks and customer contact.
