Are you someone who works meticulously, likes to keep track of things and gets a real buzz from ensuring that the accounts are accurate down to the last detail? We are looking for a Construction Financial Administration Assistant to work for various clients in the construction sector.

What will you do?

As a Construction Financial Administration Assistant, you will ensure that the financial records are processed in a clear, complete and accurate manner. You will work with figures, invoices, timesheets, project data and administrative documents that are important for the progress of construction projects.

In the construction industry, a lot happens all at once. There are several projects running simultaneously, invoices come in from suppliers and subcontractors, hours need to be recorded, deadlines must be met, and costs need to be allocated to the correct project. You’ll ensure that the administration remains neatly organised.

Depending on the client, you might, for example, assist with accounts payable, accounts receivable, invoicing, timesheet processing, project administration or providing support to the finance department. Sometimes the focus is more on purchase invoices and payments. At other times, the focus may be on sales invoices, project numbers, cost control or providing administrative support to project managers and work planners.

You will regularly liaise with colleagues in finance, project administration, work planning, scheduling, project management or operations. You may also be in contact with suppliers, subcontractors or clients regarding invoices, data, receipts or payments.

Depending on your experience and the client, your duties may include, amongst other things:

  • Processing and checking purchase and sales invoices.
  • Allocating costs to the correct projects, cost centres or general ledger accounts.
  • Providing support with accounts payable and accounts receivable.
  • Checking hours, receipts, work orders and project details.
  • Preparing, checking or processing instalment invoices.
  • Maintaining project records and financial project data.
  • Identifying discrepancies in invoices, payments or project costs.
  • Maintaining contact with suppliers, subcontractors, clients and colleagues.
  • Providing support with month-end closing procedures, reports and financial statements.
  • Processing payment files, reminders or outstanding items.
  • Providing administrative support to project managers, work planners or the finance department.
  • Working with accounting software, ERP systems, Excel or other administrative programmes.

So you’re not just entering figures; your main job is to ensure that the accounts are accurate. You keep track of everything, spot when something doesn’t add up, and make sure your colleagues can rely on the data they’re working with.

Who are you?

You are someone who works meticulously, thinks in a structured way and enjoys bringing order to figures and administrative tasks. You consider it important that data is accurate and that agreements are properly documented. You are able to work independently, but you also liaise easily with colleagues when something needs to be looked into.

You don’t necessarily need to have worked in the construction industry for years. Perhaps you have a background in financial administration, bookkeeping, project administration, invoicing, HR administration or general administration, and would like to work in a hands-on sector. Do you already have experience in the construction, engineering, installation or contracting sectors? If so, that’s obviously a bonus.

What’s important is that you’re meticulous, take responsibility and understand that good record-keeping is vital for the whole company. You’ll spot it when figures don’t add up, data is missing or invoices appear to have been posted incorrectly. Rather than waiting to see what happens, you’ll get to the bottom of it or ask the right question.

For example, you might recognise yourself in the following:

  • You have experience of, or an interest in, financial administration, bookkeeping or project administration.
  • You work with attention to detail and like to keep track of things.
  • You’re good with figures, invoices and administrative processes.
  • You have experience with Excel, accounting software or ERP systems, or you are quick to get to grips with new systems.
  • You have a practical mindset and enjoy dealing with administrative matters in a thorough manner.
  • You are able to liaise effectively with colleagues, suppliers, subcontractors and clients.
  • You are reliable, discreet and careful when handling financial data.
  • You can work independently, but you also know when to consult others.
  • You enjoy working in a construction-related or technical environment.
  • You’ll feel at home in an organisation where clarity, short lines of communication and a hands-on approach are important.
